YourHIRO Privacy Notice for Companies
This notice is for people who use YourHIRO on behalf of a Company that is hiring. It explains how we handle your personal information as a Company user. It works together with our Privacy Policy, which covers everything this notice does not, including our service providers, security, your rights, complaints and who we are.
1. What we collect
- About you: your name, work email address and the Company you work for, with your Company's website and industry. If you give us a phone number or job title, for example when you book a demonstration, we keep those too.
- Your account: your sign-in details, handled by our sign-in provider, and the invitation you joined with.
- Calls with us: notes from onboarding and demonstration calls. We record some of these calls, and when we do, we tell you at the start of the call. You can ask us not to record.
- Billing: the details we need to invoice your Company, such as a billing contact, and a reference to each invoice.
- Activity: the roles you create, the searches you run, the Candidate profiles you view and unlock, the messages you send, and your requests for credits and the credits you use.
- Support: anything you send us when you ask for help or give feedback.
2. Why we use it
We use it to set up and run your Company's account, let you search for and contact Candidates, invoice your Company, support you, keep the Platform secure and prevent misuse, improve the Platform, and meet our legal obligations, including tax and record keeping.
3. Who can see it
- Candidates you unlock or contact see your Company's name, website and industry, your name, the title of the role, and what you write to them. They never see your email address or phone number.
- Other users from your Company, if there are any, can see the Candidates your Company has unlocked, its credit balance and its credit history, which shows who used each credit and the title of the role it was used for. A role's search, shortlist and conversations are visible only to the person who created it.
- Authorised YourHIRO staff see what they need to support your Company, check accounts and investigate reports.
We never sell your personal information.
4. How long we keep it
| Information | How long |
|---|---|
| Your account details | while you use YourHIRO on behalf of your Company |
| Call recordings, for calls we record | up to 12 months, then deleted |
| Billing and invoice records | as long as tax law requires (usually five years) |
| Records of unlocks and contact with Candidates | while your Company's account is open, and as long as we need them for billing, disputes and our legal obligations |
5. Marketing emails
We do not currently send marketing emails to Company users. If we start, we will ask you first, and every marketing email will have an unsubscribe link. Service emails, such as account and security notices, are not marketing.
6. Candidate information you receive
How your Company must handle Candidate information is set out in the terms your Company agreed with us. Once your Company holds a Candidate's details, it is responsible under privacy law for how it uses them.
7. Everything else
Our Privacy Policy explains our service providers and overseas disclosure, how we keep information secure, how to see or correct your information, how to complain, and who operates YourHIRO. Questions: privacy@yourhiro.com.au.
